Every meeting, voice note and typed note can become a Smart Note: a summary, the decisions, and the action items with an owner (you or a named person), a due date, and a link back to the line where it was agreed.

Your actions become reminders. Actions for other people are tracked as things you're waiting on. Anything VAIPA would send them, like a recap email, is shown to you first and only goes when you confirm.

On your Mac or PC, VAIPA records calls from apps such as Zoom, Teams and Google Meet. You choose once: record every call, ask each time, or never, and you can change it per app. A recording indicator is always visible, with Pause and Stop, and VAIPA reminds you to let the other people know.

On your phone, it records in-person meetings and voice notes with live captions. Phones don't let apps record other apps' calls, so calls are captured on your computer and appear on your phone.

Text only. Audio is turned into text and then discarded. It's never stored or uploaded.

Before your next meeting, a short briefing brings together the agenda, who's attending and the actions still open.

Dictate anywhere on your computer: hold a key and talk, or double-tap to keep listening. The text goes straight into the app you're typing in. If an app won't accept typed text, VAIPA copies it so you can paste it yourself.

Talk to VAIPA with a second shortcut. You see what it heard and can edit it before anything happens.

Speech recognition runs on your computer. What you dictate into other apps isn't used to learn about you.

You can teach it the names and words you use, so they come out spelt the way you spell them.

Morning briefing. Your calendar, deadlines, the people you're waiting on and the follow-ups that need you, in a few lines.

Calendar. VAIPA spots clashes, finds time and suggests changes. It won't create, move or cancel anything unless you've given it permission to.

Commitments. What you promised, to whom, and where it came from, kept visible until it's done.

People. The names, roles and organisations in your working life, and what you last discussed.

Email Later Summaries, the replies you owe, and drafts for you to review. VAIPA won't send, delete or reply unless you've given it permission to.

When VAIPA wants to do something for you, it shows you a clear card: what it will do, when, and who's involved, with Confirm and Change.

Where something is routine, you can choose to trust VAIPA with that one kind of action. Those rules are yours to set, narrow and switch off.

Plans and bookings work the same way. VAIPA can find options that fit how you like things, explain why it chose them, and check with you before anything is booked or paid for.

VAIPA starts with the important things, then learns the details that make it useful: how you travel, the kind of options you like, how early you want reminding, and the things it should always take into account.

You might spend 10 to 20 minutes on the foundations, or go deeper when you want. You can stop at any point. Every personal question can be skipped, answered with “I'm not sure”, or saved for another time.

You can see what VAIPA knows, where it learned it, and correct or remove it. Tell it naturally: “I don't actually mind taking the train.”
